Online Retrieval of the eAU: Feedback Reasons

Companies retrieve the electronic certificate of incapacity for work (eAU) digitally. For you as an employer, this means you receive the notification directly from the health insurance fund. This overview lists the possible feedback reasons.

Employees must still report their incapacity for work to their employer, but if they are covered by statutory health insurance, they no longer have to forward their certificate of incapacity for work to the employer.

Instead, employers retrieve the eAU directly from the health insurance fund using a system-tested payroll program. If you don’t have a payroll program, you can also use the SV-Meldeportal (opens in a new window). The health insurance fund then reports back which data it has on file.

Possible feedback reasons

In response to your incapacity-for-work (AU) queries, you as an employer can receive these feedback reasons:

1 = Non-responsible health insurance fund / unknown person

2 = AU for certificates of incapacity for work
The following data is then transmitted:

  • Name of the employee
  • Start and end of the incapacity for work
  • Date of the medical determination of the incapacity for work
  • Indication of whether it is an initial or follow-up notification
  • Information about a possible accident (including workplace accident) or its consequences

3 = Hospital, for inpatient hospital stays
The following data is then transmitted:

  • Name of the employee
  • Start of the stay
  • Actual or expected end of the stay

Until the end of 2024, employers had to query the actual end of the stay again. Since 2025, the procedure has been simplified for employers: the health insurance fund actively transmits the actual end of an inpatient hospital stay to the employer. This applies provided that an AU query exists and the expected discharge date was reported beforehand.

4 = No proof on file
In this case, no AU data exists for the queried absence date.

5 = Rehab/prevention, for inpatient rehabilitation and preventive care measures
The following data is then transmitted:

  • Name of the employee
  • Start of the stay
  • Actual or expected end of the stay

6 = Partial inpatient hospital treatment
In this case, the information is transmitted that a partial inpatient hospital stay exists, but without exact times.

7 = Under review
This feedback reason is transmitted when a paper AU certificate exists that contains invalid data and the insured person has requested a correction. If the insured person submits a corrected AU certificate within 28 days, it is actively reported back to the employer.

8 = Other proof on file
This feedback reason is transmitted when foreign or privately issued AU periods have been confirmed. In this case, the information is transmitted that proof exists, but without the exact times.

9 = Forwarding procedure under § 304 SGB V (when changing health insurance funds)
This feedback reason is transmitted when an employer’s AU query was forwarded to the previous fund during an ongoing change of health insurance fund (because the new fund does not yet have any AU data). In addition, the employer also receives a response from the previous fund.

Tip: It is best not to retrieve the data on the same day as the medical certification, but one day later.
